CTAM BOARD OF GOVERNORS MEETING

Sunday, January 8, 2012, 11:00 a.m.

Holiday-Inn Hotel and Suites, St. Cloud

1. Call to Order 11:15 am by Kris Kracht, president.

2. Welcome and Introductions: Jan Urtel, Roxy Janke, Mark Quinlan, Cadi Kadlecek, Kris Kracht, Bonnie Spohn, Gregg Sawyer, Scott Duroscher, Jody Sexton West, Kathy Martin, Jessica Chipman, Tracy Hagstrom

3. Approval of minutes of September 15, 2011: The minutes are posted online; no hard copies were made. Motion to approve and second from Scott D, and Gregg S. Unanimous approval.

4. President’s Report – Kris Kracht – 289 members at this time. Membership is up by a few. Kris appointed Ross Eichele CTAM BOG high school rep. Convention critiques were positive for the most part; negatives to be noted later. (award recipients) Kris would like the board to continue building the college sessions, including – bridging the gap between high school and college. The panels received positive feedback. – Scott noted no grant $ was available this year to support some of the work that had been done in the past in bridging the gap. Discussion point: Moving forward, what is the role of the board? How do we work on CTAM outside of the meetings and conventions? What can we do to help people who are in financially insolvent districts?

5. Past President’s Report – Scott Durocher – Cragun’s Resort is soliciting CTAM again to hold our fall conference. We may want to look at this again.

CTAM at the State Fair: What does CTAM get from this? State Fair discussion entailed give-aways, what ED MN booth would allow; it seems, not much. Scott proposed to discontinue the State Fair presence, Gregg seconded. Unanimously passed.

This meeting too place at the Holiday Inn as the Ground Round closed, and our fall meeting conference is scheduled here. The staff are courteous, the rooms are tech friendly, (bring your own projector), it is a good venue for our conference needs.

6. Treasurer’s Report – Larry Schnoor - more money was spent last fall due to Metro location. Treasury holds $7,095.95 with a few more dues owed for new members. A list of college, retired and student members was distributed in facilitation of recruiting a president elect. A map of the meeting spaces was discussed as well in order to support the conference needs. Scott asked about adding additional meeting spaces in this hotel that were not available at the past conference. Larry advised that we had already signed for all rooms available. Other discussion entailed places vs. cost. Cost analysis of dues/ convention fees vs. the possibility of few people joining was explored.

7. Historian’s Report – Cynthia Carver – no news – more online all the time. Larry is encouraging a graduate student project on the history of CTAM.

8. Journal Editor’s Report – James Dimock – no report.

9. Newsletter Editor’s Report – Cadi Kadlecek - deadline is March 1, 2012. Pictures from productions, speech teams, other ‘student perspective’ section items, reflections on the conference, etc. Gregg brought up possible problems with using images in the newsletters. CTAM should have a policy that if coaches/ teachers submit pictures with names, they also submit the documentation of permission. Exec. board will put something together. Kris has a working document for the GAC summer camp and will explore that document for adaptation for this purpose.

10. Central States/NCA Liaison Report – Renee Strom – No panels were forwarded to the National convention from CSA – As a new member she sees how CTAM is very active and is to be commended for the work it does (journal continues, good representation at NCA, etc.). Discussion centered on the number of organizations surrounding the discipline of communications and how this affects membership, money, etc. (Other notes on attachment.)

a. BOG Members Reports

b. Jody Sexton – West – asked about how word goes out about the CTAM convention. The information goes out to ‘speech representative’ from each school, not to English or communication teachers. How can we broaden that? The regional reps should be reaching out to schools in their area. The question still remains. Gregg S. noted the Perpich Center keeps both a paper and electronic list of it’s members. The MSHSL now has a comprehensive email list for this purpose, however the email must have a specific name, which can change at the drop of the hat with speech coaches being fluid in the high schools. Roxie Janke from SW does send out a regional flyer to the area schools to send the message about CTAM and supports the area coaches/teachers. Bonnie from the Central Region spoke of the meetings held throughout the year to facilitate information sharing, etc. The consensus of the BOG was that the CTAM BOG regional reps are responsible to get the word out to the speech and Theater directors and teachers in their region. Create a regional meeting; invite people to be on the CTAM list serve, etc. it comes down to communication. Gregg shared that social media has played a huge part in getting the word out about thespian organizations. Mark Q shared his experience with learning about the organization; people who are not teachers are interested in what we do as well.

c. Gregg – Spring conference is being planned for the performance of - - - - at Park Square? META website is up and running.

d. Bonnie Spohn – Could the presenters’ materials be available after the session / conference? Kris – the handouts that have been submitted are on the website. Gregg brought up intellectual property rights . . . maybe more the exception than the rule . . . ultimately the presenters need to make the decision of what they will share. Summary of discussion: The conference organizer should continue to ask presenters for a digital copy of their presentation notes, as well creating a list of emails for people who want the information.

e. Mark Quinlan – ITA conference March 18. All state show for the first time, the Laramie Project – directed by Randy Reyes. The 19th is the date for the show, as the Guthrie is available and encourages groups to use it. The EdTA is planning the national conference in 2013 at the Guthrie. A fall date is common. More details to come.

f. Roxie – working hard to share CTAM information to not only coaches but teachers as well.

g. Jessica - learning the tasks of being a middle school rep.

11. Kathy - MSCA - Chris McDonald is running to replace Jill Lofald on the MSHSL advisory board. Some confusion ensuing about the umbrella under which the appointment is made. Scott: is it our responsibility as CTAM to represent/appoint from this organization? The answer seemed to be no. The language from the MSHSL needs to be clarified, and the information on positions open to CTAM representation needs to be better communicated. Larry proposed the nomination of Chris McDonald to take the position of MSHSL advisory representative to the MSHSL due to the deadline of June. Motion seconded and approved to send Chris’ name forward for the advisory position. MSCA meeting feedback. Long discussion ensued on the seeming dysfunction and length of the MSCA meetings, causing the subsequent meeting times to start late. Could some of the business be done on Friday at the Chat n Chew? Larry commented that the high school speech coaches argue, similarly, the college coaches; large well funded teams vs smaller, less funded teams, etc. The phenomenon seems to be with in the speech community as a whole. Consensus from the BOG: The MSCA advisory committee may need to take a firmer stance at these meetings. Proposals offered from the group and the committee makes the final decisions.

12. Personnel on the ballot for 2012:

a. President –Elect (College Faculty) Call for names from the college faculty for president elect. Karen Wilson has been contacted by Larry and is considering the nomination. At least one other nominee would be beneficial.

b. Treasurer of CTAM – Call for names for treasurer to run against Larry Schnoor.

13. Outstanding Individual Award nominee reminder; no wording is on record to not reward or nominate an individual more than once – nominations due May 15.

15. Convention 2012 Update – Holiday Inn, St. Cloud, MN

a. Theme ideas – It may be helpful for the planner.

b. Vendor Expo – continue the vendor expo – space issues need to be explored.

c. Awards Luncheon improvements - Gregg proposed we separate the luncheon and the awards ceremony due to the lack of attention to the award recipients in September. The luncheon would then be a time to visit /collaborate with colleagues, and the ceremony would follow in a separate ballroom set up for the award ceremony with the expectation for attendees to move from the luncheon to the ceremony. In respect for the award recipients, no other session would be scheduled opposite the ceremony.

d. CTAM BOG Table near the registration table – a place for people to come and ask questions / get help / suggestions for BOG meeting items. Scott suggested having a member of the board introduce themselves and the presenter for each session as well as stay in that session to listen for issues /ideas for the BOG.

e. Collaboration ideas – high school and college - Call for ideas / sessions to facilitate collaboration between high school and college.

f. Convention site – central location vs. rotation: Kris K. is in support of the central location, specifically, St. Cloud. Scott ‘s comments centered on benefits of having a relationship with a ‘place’ for simplification of the conference planner. Larry concurred that it may be beneficial to create a ‘3 year contract’ for venues. Outstate venues are better sized for our needs. Does having one location tax the staff at the local schools, both hs and college? Due to the change in venues from college campuses to hotels, much less is expected of the host city’s personnel. Central MN speech and drama organization offered to help and is well organized to assist the programmer and host city of St. Cloud.

 1. Motion: by Jody, seconded by Kris that CTAM is held in St. Cloud, 2012 – 2014, unanimously passed.

 2. Motion: by Jan: Larry should enter into negotiations with the Holiday Inn as well as other St. Cloud venues for the 2013 – 2014 conferences. Seconded by Cadie. Unanimously passed.

16. New Business

a. BOG Representation/Responsibilities - Scott – rep responsibility update of duties: 1. Retrieve a map from Cynthia Carver to see what geographic areas so that membership in these areas can be ascertained and contacted about CTAM;

 2. BOG brings a session to CTAM

 3. BOG is responsible to nominate someone for one of the awards.

 (If membership of this organization is not a criterion to receive the award, then it should not factor in to the award recipient selection.) Gregg S.

b. Website/Newsletter Improvements. Cadie K. was commended for an excellent job on the first newsletter this year.

I. Of the four panels nominated (see below), there were no CTAM session forwarded to the Central States Advisory Committee at the 2011 NCA Convention. All panelists were contacted twice and all reported that they would not be attending the CSCA convention this year.

The Communication and Theater Association of Minnesota (CTAM) held their annual conference at the Crowne Plaza Hotel in Bloomington, MN September 16-17, 2011. The conference had over 50 panels featuring research, teaching, speech, debate and theatre activities, meetings of affiliated organizations and the annual MSHSL judging certification clinic. The conference was very well attended. The CTAM treasury is healthy.

Journal submissions for Volume 39 need to be submitted by March 30, 2012. The CTAM conference for 2012 is scheduled for the Holiday Inn in St. Cloud, MN. The Board of Governors will meet Sunday, January 8, 2011 in St. Cloud, MN.

III. Notes from NCA States Advisory Counsel

· Discussion with members re: NSAC visibility, e.g. listing in the program, inclusion of all member’s names in program, connections to NCA website.

· Presence at regional conventions was discussed. Tomasovic encourages connections. Central States is active; though sometimes nomenclature creates conflicts/confusion when scheduling at NCA. Eastern may be interested; Tomasovic will contact ECA reps. John Foster (Northwestern State, LA) will contact Southern. Western has indicated no interest.

· Visibility with NCA. Suggestions: Check with NCA about having an exhibit booth. Encourage states to invite NCA officers to speak at state conferences. Cautioned to read the “fine print” with NCA, e.g. receiving a grant for your state association would give NCA “ownership” of your association.

· Motion for secretary to send out electronic ballot to update constitution to reflect current practices in officer duties:

o Past Chair (or their designee) is the Legislative Assembly representative (in lieu of current language of a Legislative Council Representative).

o Include award duties for Second Vice Chair.

· Awards (wood plaques paid for by Communication and Theater Association of Minnesota [CTAM]. Thank you to Diana Rehling and Larry Schoor. Next year’s awards hopefully funded by Rocky Mountain Communication Association):

· Discussion of reduction in slots for NCA 2012 in Orlando. Overall slots reduced significantly for Orlando. Only one slot (business meeting) given. Need at least two slots (business meeting and state reports), and prefer three. Endres spoke to Beebe (NCA program planner) about history and need. Beebe wants a request submitted including attendance at New Orleans meetings.
