Fall 2008 Volunteer Request Form

Our commencement ceremonies for Fall 2008 will be held on Saturday, December 13, 2008, at Bresnan Arena in the Taylor Center.  Ceremonies will be held at 9:00 AM and 12:00 Noon. As before, individuals are needed to assist in managing the various activities before, during, and after the commencement ceremonies.

Realizing this is not a duty day for most employees, it is necessary to solicit individuals to assist in the commencement ceremony.  Non-exempt employees who express an interest in working and have approval from their department who are assigned a commencement ceremony task will be compensated based on applicable provisions in their bargaining unit agreement.  Since the cost of this is borne by the department, it is often helpful to choose comp time rather than overtime.  Exempt employees who agree to assist in this effort are not entitled to overtime or comp time, but may make alternate arrangements with their supervisor in accordance with the provision in their bargaining unit agreement or personnel plan.

If you are interested in participating in this event, please complete the Commencement Participant Form, ask your supervisor for permission and, if approved, return it no later than Friday, November 7.  Becky Miller , Special Events Coordinator, will be responsible for arranging the time and location for all participants.

  • Please note that there are different work shifts that have been identified during the day.  They are noted on the form.  Please mark in preference order the shift(s) that you are available to work.  There will be some opportunities for staff to work more than one shift.  The form has a space to mark if you are available for more than one shift.
  • Non-exempt employees, please remember to note your actual hours worked on your time sheet.  Overtime hours and comp time hours are keyed from this form and not from the “participant form” attached to this memo.
  • MSU Faculty:  Marching faculty or college honor marshals do not need to complete the participant form.  You will be registered for this event through your dean’s office.

Thank you in advance for your willingness to participate in this event.  Commencement is a special occasion that graduates and, particularly, their families remember for a long time.  Your help in making this an extraordinary event for them is appreciated.
