Common Problems

The following concerns are the most frequent issues students seem to have.

There are, of course, other possible difficulties. Most problems revolve around the information that is on file for students in the records system. It is not uncommon for information on file to be outdated or incomplete and since DARS utilizes this data, in those cases it will produce audits that do not fit your current situation. The most common solution to this type of problem is to have the department of your major update the information on file.

 

  • "I can't get an audit." [why?]

  • "My audit is being run for an incorrect degree/major/minor/catalog year." [why?]

  • "I think my audit is wrong." [why?]

  • "My transfer work is not showing on my audit." [why?]

  • "I have two majors and my audit(s) are coming out somewhat garbled." [why?]

"I can't get an audit."

There are a number of different reasons why you may not be able to get an audit.

The catalog requirements for your program may not be encoded in DARS. This is something that is only solved by waiting until the coding has been done by the Office of the Registrar. However, you may be able to go to the Campus Hub and obtain a general education audit for your catalog year, which in conjunction with the catalog and your advisor, may suffice until your program is encoded. It is also possible that you could utilize an audit for your program that was run for an earlier catalog year, at least until your program has been entered into DARS.

Your major may require a concentration on file in order to be considered valid and that concentration has not been entered into the records system. In that case, you would contact the department of your major to have the proper information entered.

There could be some other information on file that is incorrect--a major that is not valid for the catalog you are following, for example. The resolution in this case is to contact the department of your major to have the information corrected.

"My audit is being run for an incorrect degree/major/minor/catalog year."

This probably indicates that your information on file in the records system is either incorrect or incorrectly entered. There may be a previous major or minor that has not been eliminated or possibly your latest major has not been entered completely.

Departments can make all of these changes. The solution is to go to the department of your major and have them check and change your information on file.

"I think my audit is wrong."

You could be correct and your courses may not be placed in the proper spots on the audit.

It could also be the case that the audit is working properly, but it is using a different catalog than you are or that the catalog (and therefore DARS) says something slightly different than you have heard somewhere else.

Special agreements that you may have made with your department (such as substitutions or waivers) are not reflected in DARS so you may be expecting to see something that is true, but that DARS cannot show. In this case, you can check with the Graduation Department in the Office of the Registrar (email: graduation@mnsu.edu) to see that they have your exception on file.

Transfer work is not part of the DARS audit for all students. Only those students admitted to the University from Fall 2003 onward will have transfer work on their audit. Thus, you may be expecting to see something that is on file, but will not show up in your audit. In this case, you can use the evaluation sheet given to you upon transferring to Minnesota State University, Mankato in conjunction with your audit. You can check with the Transfer Evaluations Department in the Office of the Registrar (email: transfer-evaluation@mnsu.edu) for detailed information on your transfer work.

If you believe there is an actual error in your audit, send an email to DARS-Questions@mnsu.edu. Make sure you send your tech ID along with a description of the problem. Normally these emails are answered within a day of being received.

"My transfer work is not showing on my audit."

Transfer work is only part of a DARS audit for those students admitted to the University from Fall 2003 onward. Students admitted at an earlier time should use the evaluation sheet given to them at the time of their transfer in conjunction with their audit.

"I have two majors and my audit(s) are coming out somewhat garbled."

This is a known problem with the DARS program and is actively being worked on by MnSCU. Until the problem is resolved you can order separate audits (one for each major) at the Campus Hub or the department of your major.
