Scheduling Policies

All users of event space on campus are subject to Minnesota State laws, University policies and Minnesota State Colleges and Universities policies.  Please review our event contract supplement to view other criteria that event coordinators are responsible for following.

The University Event and Meeting Services office schedules events taking place anywhere on the Minnesota State University campus.  Our office is located in the Centennial Student Union Room 219.

Academic and academic-related scheduling is done by the Registrars Office.   Requestors will be asked for a course number and section number when the space is requested.

The Centennial Student Union offers your conference or event the friendliness of the midwest with all the resources, efficiency and modest cost of a university campus. It is a direct 90 minute drive from the Minneapolis/St. Paul International Airport and the famous Mall of America.

This page briefly describes the reservation procedures, meeting room information, and building policies affecting the use of the facility. The CSU can accommodate groups from 10 to 800 in a fully air conditioned, smoke free and wheelchair accessible environment. There are 15 meeting rooms in addition to a 350 seat auditorium and a ballroom which can provide theater seating for 800, banquet seating for 400 or be divided into five separate sections, in a variety of seating arrangements. All meeting rooms contain white boards, Standard Laptop Multimedia (excluding Elmo Document Camera) and telephone and computer hook-up capabilities. Please indicate which features you will be needing when making your reservation. Otherwise, availability cannot be guaranteed. The CSU also houses the Maverick Bullpen with bowling lanes, billiard tables and numerous video games.  Please contact the Maverick Bullpen Manager at 507-389-1321 to reserve the Maverick Bullpen.

Reservation Procedures

Room Request

To receive the best selection of space available, it is recommended that requests be submitted with as much advance notice as possible. Tentative reservations are accepted with a predetermined deadline for confirmation. The CSU Daily Reservations Calendar is available to plan your events and check for room openings.

Room requests may be submitted by the following means:

The following information is required to request room reservations...

  • Date of event.
  • Purpose of Event: meeting, lunch, reception, etc.
  • Time of Event, including access time and duration.
  • Number of persons.
  • Setup/Equipment needs.
  • Name of Person Requesting Room(s).
  • Name and Address of Sponsoring Department or Group.
    For recognized student organizations (RSO), please see the RSO Directory to check the organization's status. If your organization is not listed, please visit the Recognized Student Organizations website for guidance on becoming a recognized student organization.
  • Telephone Number.
  • Title of Event.
  • Food/Beverage Needs.
  • Event on-site contact name and his/her cell phone number.

Late Requests

Late requests for space submitted within two (2) working days of the event will be processed pending availability. The room availability does not guarantee equipment or food service.

Confirmation

Reservations are confirmed when all the requested information has been verified by the client.

Catering

University Catering accommodates all food needs from refreshments to gourmet meals. The office is located in CSU 219. The Catering Office requires at least two (2) weeks notice prior to the event. Room confirmations do not guarantee catering services.

Food and Beverage Policy

All food and beverages must be arranged through University Dining Services Catering. Any exceptions to ordering event refreshments, meals and beverages from University Dining Services must have the proper exception form completed and approved. Reservation Policies

Audio-Visual Equipment

Audio- Visual Equipment (AV) should be requested with the original reservation. All AV orders are subject to equipment availability.

Changes in Reservations

Changes effecting room, dates, setup/equipment needs, and/or special details are accepted, pending availability, without a charge when requested at least two (2) working days prior to the event. Changes to a reservation within the two (2) working days of the event may be assessed a charge.

Cancellations

Cancellations for confirmed meeting room space must be made two (2) working days prior to the event or a fee will be assessed. Cancellations for confirmed Performance/Banquet space must be made one month prior to the event or forfeit of 50% deposit will be assessed.

No Shows

Groups failing to utilize a reserved space will be treated as a cancellation without proper notice. A fee may be assessed.

Fee Payment

Payment may be made by cash, check, or MSU Inter-Departmental Purchase Order. Checks are to be made to Minnesota State University, Mankato. Groups failing to provide payment may have future reservations restricted.

Room Charge

There is no room rental assessed for most requests from MSU departments and on-campus registered organizations. If an admission charge is collected, however, labor and technical labor charges will apply. All off-campus groups requesting space in the Centennial Student Union will be charged a daily room rental based on available space. A list of charges is available upon request.

Deposits

A 50 percent non-refundable deposit is due thirty (30) days prior to an event when charges apply. The balance is due upon conclusion of the event.

Security

MSU Security and the Centennial Student Union work to provide a secure environment for guests and patrons. When there is an event, such as a dance, concert, or major presentation, it is the policy of the CSU to secure MSU Security assistance. A three (3) week processing period prior to the event is advised. Charges for security are paid directly to MSU Security from the sponsoring organization.

Posters

Posters for events in the Centennial Student Union may be displayed with prior permission from the Student Union Administrative Office (CSU 220). For assistance in displaying posters, clients must make arrangements with the Student Union Administrative Office (CSU 220) prior to the event.

Display Space

Banner, showcase and sign stand locations in the Centennial Student Union must be reserved through the University Scheduling and Conference Services Office. (CSU219)

Building Hours Extension

Student Union building hours may be extended with a minimum of ten (10) working days notice for approval from the University Event and Meeting Services Office. The group or individual who confirmed the reservation will be charged for each extended hour beyond normal building hours. A copy of the building hours is available upon request.

Damage/Loss

Damage occurring in a room and/or loss of equipment during facility use will be charged to the group responsible for the reservation.

Parking/Loading Dock

Parking arrangements for special meeting or conferences need to be arranged in advance with University Event and Meeting Services (507-389-2223).

Any vehicle requiring the use of the loading dock also must make arrangements in advance with University Event and Meeting Services (507-389-2223).

Non-MSU Clientele

External clients are required to provide a certificate of liability insurance and sign a contract with Minnesota State University.

Additional Information

Smoking, drugs, firearms, and illegal gambling devices are not permitted within the building at any time. Only service dogs are allowed.   Clients are prohibited from bringing alcohol on campus.
