Advertising on campus – distribution/Use (University Policy)

Placing flyers under windshield wipers of vehicles on campus is prohibited. Distributing handouts on university grounds or within its facilities is prohibited unless approved in advance by University Scheduling and Conference Services and/or authorized as part of an approved facility use application.

Department interior and exterior signage and poster needs (temporary/permanent) can be accommodated by the Sign Shop and/or Printing Services. Contact Office Support Services for their sign making form.

Chalk use prohibited – unless a specific exception is made by Building Services. Use of chalk on sidewalks, walls, windows, etc. is prohibited.

Art Display-CSU

This policy is to guide decisions regarding the temporary display of artwork or cultural materials in the Centennial Student Union.

Considerations

  • Requests for display of art or cultural items will be considered on a case-by-case basis.
  • Only those works appropriate to an educational setting and of potential benefit to the MSU community will be considered.
  • Displayed items may not interfere with the day-to-day functioning of regular building usage.
  • Areas which require the moving of furniture or other structures will be considered only under special circumstances, and a labor fee may be required.
  • No permanent alteration to the building will be allowed, such as putting hangers into the walls in areas not specifically structured for that purpose (i.e. other than thumbtack rail or gallery walls).

Who Can Display

  • MSU students, faculty, staff and alumni
  • Recognized student organizations
  • MSU departments
  • Off campus individuals, organizations and firms

Procedure

Persons/groups wishing to display artworks or cultural items in the Centennial Student Union may contact the Student Union (Administrative) office or call 507-389-2224. The appropriate Centennial Student Union staff will consider items for display.

Decorations

  • Reasonable time requested for decorating a room prior to an event (or pre-access time) must be scheduled in the usual manner as well as post access time for clean up, etc. Please make sure your needs are known at the time the reservation is made.
  • No decorations may be nailed or tacked to the walls, floors or any part of the building without the express permission of the CSU Director. Masking tape is the only acceptable adhesive for attaching decorations to painted surfaces, brick or wood walls. Scotch tape is permissible on glass surfaces. Charges will be levied against any organization for damages or insufficient clean up.
  • Decorations must not create a fire hazard as determined by local and state regulations and Centennial Student Union administration. If candles are approved for an event they must be of the self-extinguishing variety.
  • Special holiday decorations will be determined by CSU Administration.

Non-Permanent Posting

This policy is an effort to provide an opportunity for MSU organizations and departments to advertise via banners, posters and signs in the campus buildings. It also provides an opportunity for publicity via bulletin boards in the Centennial Student Union. The purpose is to provide the most opportunity without damaging or cluttering the buildings.

  • Flyers and/or handbills shall be approved prior to posting on approved bulletin boards. Flyers shall not be placed on light poles, walls, windows, vehicles, etc. The cost for removal of illegally placed items shall be billed to the organization or firm posting them.

The Centennial Student Union Director can make exemptions to any policy stated within.

Note: this policy shall be administered and exemption approval given by appropriate Centennial Student Union administration.

*Note: RSOs and SAF funded activities will receive priority posting privileges. All others may be limited in number depending on space availability. Space availability will be monitored by the Centennial Student Union Office Manager (In SU 220).

Violation

Violation of posting guidelines may result in the loss of posting privileges. Charges for clean-up and any damages caused by illegal posting may be assessed.

Theft and Destruction of Posted Materials

The Centennial Student Union and Minnesota State University are not to be held responsible or accountable for theft and/or vandalism of posted materials.

Exceptions/Exemptions

Student Senate elections and Homecoming activities will not be limited by this policy. It is not necessary for such materials to be stamped by the Student Union office staff. These organizations must follow the procedures established by their respective committees.
