CTAM Executive Committee Meeting Minutes

Thursday, September 14, 2006, Crowne Plaza Hotel, Minneapolis North

Present: Dan Cronn-Mills (President), Sandy Nieland (President Elect), Larry Schnoor (Treasurer), Cynthia Carver (Historian), Sarah Wolter, Newsletter Editor), Karen P. Wilson (Secretary)

Meeting was called to order at 5:30 p.m.  Minutes from Thursday, May 18, 2006 were approved.

Treasurer’s Report:

Larry reported that 260 people had pre-registered for the convention.  CTAM is in good financial condition with approximately $20,000 in the account (bills for the convention and the journal are not included in this total). Expenses are increasing for the journal ($4500).  Audio/visual costs will also be high for the conference (approx. $900).  Good student participation under the CTAM grant.  Larry will describe the convention costs at the Sat. morning business meeting so the membership has a better sense of what the actual costs are of such a convention.

President’s Report:  Dan reported that Concordia is the 2006 Recipient of Rex Mix Award for Small College Program of Excellence.  Congratulations were extended.

Two appointments were made:

1.      NCA/CSCA SAC Representative: Two people expressed interest:

a.       Diana Rehling, St. Cloud State U.

b.      Todd Holm, Concordia C.

Discussion followed and a motion was made to appoint Diana Rehling as the NCA/CSCA SAC Rep. Motion seconded and passed.

2.      Journal Editor.  Two people have been nominated as Journal Editor:

a.       Angie Anderson, Anoka Ramsey CC

b.      Dr. Aileen Buslig, Concordia C.

Discussion followed. Motion was made to appoint Aileen Buslig and Angie Anderson was nominated as an Associate Editor.  Motion was seconded and passed.  It was noted that printing of the journal will stay at MNSU-Mankato as these established procedures facilitate the printing of the journal and it is hoped that CTAM can continue this relationship.

President Elect’s Report:

Sandy expressed excitement and thanks for a great conference program.  One cancellation since the program has been printed.  Thanks to Dan and Larry for all their help.

Historian’s Report:  Cindy is working on the historian’s article for the next journal.  The archives moved into a new office and the archives now reside in a smaller corner.

Newsletter’s Report:  Sarah reported that everything went smoothly with the newsletter and things are in place to continue successfully.

New Business:

Conference location:  this is a difficult process and there is a struggle to find the best location when following the practice of switching back and forth from Metro area to outstate MN.  One idea raised was to go with the location that provides the best bid.  Discussion followed. As yet, there is no site for next year’s conference but there are several locations interested (including Rochester which has provided the only bid). Attendance does not seem to be greatly affected by location (average attendance ranges from 250 to 300+).  Metro hotel rates are higher when located in the metro area but outstate often does not have large enough rooms for the luncheon.  The membership has been vocal in preferring a hotel/motel site instead of a campus.  Suggestions for sites need to be followed up with specific bids.  It would make it easier if the site could be located near the President Elect’s location since this person is in charge of the next year’s conference.  Motion was made to approve the bid to go to Rochester for the next convention and to bring this to the BOG. It was clarified that CTAM should remain committed to moving to various sites/locations for the annual CTAM conference but the practice of shifting from metro to outstate every other year will not be an official mandate.

Journal expenses:  consider moving the journal to an on-line format to save printing costs. DSR does this already and uses two formats (html and pdf) successfully.  On-line format may increase the audience.  In 2005, 350 copies were printed for $3727.  In 2006, 425 copies were made and the cost increased to $4003.  Dan will bring this discussion to the BOG meeting.  Reminder to be sure to print a hard copy for the CTAM archives.

Karen mentioned that at the Theater/Dance licensure meeting it was communicated that there is still a possibility to split Speech out of the Communication Arts Literature licensure and make it it’s own license. Dan will bring this up at the BOG.

Meeting was adjourned at 6:30 p.m.

Respectfully Submitted,

Karen P. Wilson, Secretary
