Board of Directors Meeting Minutes

Monday, June 8, 1998

The twenty-sixth session of the Board of Directors of the Blue Line Club was convened at 4:06 p.m. by Club Vice President Henry Okleshen. The meeting was held on Monday, June 8, 1998 in the Alumni and Foundation Center conference room on the campus of Mankato State University.

Approval of Agenda

Director Larry Morales moved and Director Jim Turk seconded that the meeting agenda for June 8, 1998 be approved. Motion carried.

Minutes of Previous Board Meeting Approved

Director Jim Turk moved and Director Larry Ward seconded that the minutes of the Board's regular May 11, 1998, meeting be approved. Motion passed.

Secretary-Treasurer's Report - David Cowan

Club Secretary-Treasurer David Cowan circulated a document dated June 4 which showed both 1997-98 financial activity and the "tentatively" approved 1998-99 income and spending plan endorsed by the Board at its May 11, meeting. It was noted that $24,429.05 had been spent since July 1, 1997, against income deposits of $24,613.04.

Though a surplus of $183.99 exists so far for the eleven months of fiscal 1997-98, Cowan reminded the Board that there was the matter of a $108.25 of "red ink" which carryforward from the 1996-97 fiscal year, which, when factored in, brings down the current balance to $75.74.

FY'99 Club Budget

The 1998-99 income and expenditure plan "tentatively" approved by the Board on May 11, was then reviewed once again. Director Brad Reeves moved and Director Larry Ward seconded that the Board formally endorse the newly typed plan as distributed by the Secretary-Treasurer.

The spending plan totals $25,050, spread out among many objects of expenditure; income estimates total $25,050, of which the total sum is derived from a transfer from the estimated $180,000 to be raised from "Corporate" and "Individual" club membership fees for 1998-99. The Corporate Member rate continues at $1,200 annually with the Individual Member rate at $600. The Reeves motion was then voted on. Motion carried unanimously. [This action, along the specific budget detail, will now be forwarded to the Mankato State University Administration for its final approval.]

The $25,050 needed to fund the Club's Operating Budget for next year can be derived from the membership dues formula used this past year:

Discussion on Proposed 1998-99 "Distinctive" Memento for Club Members

Board members left standing a $10,000 line item in the proposed 1998-99 budget plan for a general category called "supplies" which includes money to honor the published commitment to provide Blue Line Club members with a distinctive memento. It was noted that past mementos included a "Charter Member" crystal + Blue Line Club embroidered caps (1995-96 season), embroidered sweatshirt and/or $35 credit on the Club's special clothing line (1996-97 season), and a commemorative "1st Year Division I" pen (1997-98 season).

Director Brad Reeves suggested that the Board seriously consider publishing a high gloss commemorative wall calendar with full color pictures of the 1997-98 hockey team, individual action shots, individual pictures of team members, notes of interest involving the Blue Line Club, the MSU men's hockey program, Club web site, etc. The calendar portion of the publication which has each day of the week, would list home and away hockey events, game times, places, Friday noon luncheon Club meetings with visiting coaches, etc.

Director Reeves also suggested that there would be room to place advertising should the Board agree to sell such display ad space. Calendars would be given free to Club members but could also be offered at a price to the general public.

Director Jim Bullard moved and Director Larry Morales seconded that the Board endorse as its 1998-99 memento the publication and distribution of an exclusive Blue Line Club wall calendar, with the Secretary-Treasurer instructed to work with Mankato State's Printing Services Director Doug Fenske to develop draft printing specifications which would then be reviewed by the Board. Once printing specifications are agreed to by the Board, it is the Board's intent to circulate such specifications to only those area printers who are dues paying members of the Club, asking them to submit competitive bids for review by the Board. The Bullard motion was then voted on. Motion carried unanimously.

Once the Blue Line Club calendar is published, and depending on the cost of each calendar, Board members expressed support for the distribution of the calendars to the Club's Corporate members (four copies each) and Individual Members (two copies each). No commercial advertisements of businesses would be allowed within the body of the calendar. The calendar would begin with the first month of the 1998-99 men's hockey season and could carry forward through the second season, particularly if more information comes to light about the dates and times MSU will play other WCHA teams in 1999-2000.

Friday Noon Club Luncheons with Home Game Opposing Hockey Coaches

Director Brad Reeves, representing the Blue Line Social Committee, brought the Board up-to-date about a proposal to invite opposing team coaches to become part of a special Blue Line Club Friday luncheon program format. These luncheons would be over and above the Blue Line Club's Hospitality Room gatherings held one hour before each home men's hockey game.

Don Amiot reported that the Maverick Booster Club's Board had met on Wednesday, June 3, and had adopted a similar Friday noon luncheon format inviting the coach from the opposing team whenever possible. The Maverick Booster Club's luncheon meetings cover many different seasons and sports as opposed to the Blue Line Club's concentration and focus on intercollegiate hockey matches. Amiot reminded Board members that two or three times last season both clubs joined up in sponsoring a special Friday noon luncheon when the opposing hockey coach could be in attendance. He proposed that the two clubs try to co-sponsor such events during the 1998-99 hockey season.

Without objection, Directors Brad Reeves and Jim Turk were asked to proceed and determine which opposing team hockey coaches would be willing to be a luncheon speaker, along with MSU Head Hockey Coach Don Brose, to help kick off a particular two game weekend series at home. Cooperation with the Maverick Booster Club is dependent first on which, if any, of the opposing hockey coaches accept the invitation of the Blue Line Club.

Blue Line Club Golf Outing Scheduled - Scholarship Endowment Effort

As a member of the Scholarship Endowment Committee, Director Brad Reeves reported that Monday, September 21, 1998, had been set as the date for the special Blue Line Club Memorial Scholarship Endowment Golf Outing. The event will be held at the Mankato Golf Club with probably a maximum of 144 golfers each paying and estimated $120 to $130. Reeves requested that the Secretary-Treasurer forward to him the address labels for both the current Blue Line Club members as well as those that participated in the 25th Annual Mankato State Golf Classic held Monday, June 1, 1998.

Wrap-up Success of Promotions Work Apparel and Novelty Sales Effort

Due to the absence of Promotions Work contact Steve Duea, Board members agreed to postpone until the July Board meeting the agenda item dealing the financial wrap-up of what revenue was generated during hockey home games by Promotions Work and what was earned by Mankato State consistent with the agreement signed by both parties. The Blue Line Club's involvement in this contract dates to the Club's drafting of bid specifications and the interviewing of two potential vendors; Promotions Work being the successful vendor chosen by Mankato State University to sell hockey related products at the Mankato Civic Center during MSU home hockey games.

Men's Athletics Director Don Amiot acknowledged that the final report from Promotions Work had not yet been received by Mankato State University, though the contract called for an April 15, 1998 wrap-up.
