First Board of Directors Meeting Minutes

Monday, November 11, 1996

The seventh meeting of the First Board of Directors of the Blue Line Club was convened by Club President Kent Schwickert at 4:08 p.m. on Monday, November 11, 1996, in the Warren Street Center conference room on the campus of Mankato State University.

Agenda Approved

Without the following additions the Board's November 11, 1996 meeting agenda was approved: add under item #8 "Other Items" topics including the 50/50 Player Parents Raffle; Annual Hockey Banquet Plaque Costs; and Establish an Annual Campaign Committee to promote BLC memberships and season ticket sales. Morales moved and Okleshen seconded approval of the agenda as amended. Motion carried.

Minutes of Previous Meeting Approved As Corrected

Okleshen moved and Steve Duea seconded that the Board's October 14, 1996 meeting minutes be approved with the correction that wherever "Jim Duea" appeared that "Steve Duea" be substituted in its place. Motion carried.

Wearing Apparel Update - 2nd Mailing Needed

Secretary-Treasurer Cowan then distributed several reports which showed what apparel orders had been received to date and by whom. Data entry and the creation of formats for the various reports is largely the work of MSU student Chris Barnett who works for David Cowan in MSU's Auxiliary Services Office. [Barnett's student payroll costs associated with this BLC work has been charged against the Blue Line Club's cost center established on the MSU accounting system.]

Steve Duea reported that at the Tuesday, November 12th hockey game against St. John's, Promotions Works would have a large number of memento sweatshirts in the BLC Hospitality Room (Mankato Civic Center) for distribution to members who have submitted orders. Additional order blanks would be available at that time for those who had yet to submit an apparel order. Promotion Works has agreed to handle the distribution of all apparel items based on reports updated by the BLC Secretary-Treasurer. (Duea was quite pleased that Promotion Works was able to get the seemingly quick turnaround on the sweatshirt related orders.)

It was noted that within the first two weeks of the Secretary-Treasurer's October 29th apparel line announcement to the membership, returns generated were at about 63.5% (122 orders have been received out of a membership total of 192). [As of November 18th, of 101 corporate memberships, 33 have yet to submit an order form. Of 91 individual memberships, 37 have not forwarded an apparel order.]

All checks and cash received along with the apparel orders are being deposited to the BLC cost center created on MSU's accounting system.

Board members requested that the Secretary-Treasurer send out another mailing to BLC Corporate and Individual Members setting a Friday, December 13, deadline for those still eligible to receive a memento sweatshirt(s). The timing of the reminder would also allow BLC members to buy additional items as holiday gifts for family members, employees, clients, and/or friends.

Don Amiot expressed concern that the per item prices adopted earlier by the Board may not in every instance provide for excess receipts over the cost of the products. Okleshen mentioned that last spring, when the BLC's operating budget of $18,901 had been adopted, it was assumed that as much as $10,000 would be spent on mementos for BLC members. It now appears that the "net" outlay or subsidy for mementos and/or what is lost due to the use of $35 apparel credits, will be far less that $10,000.

The Secretary-Treasurer indicated that revisions of the tables would make it clear that revenue is being generated not anticipated when the Board adopted its 1996-97 budget. Many members are buying additional apparel items over and above the "free" memento sweatshirts to which they are entitled, and/or are applying their $35 memento credit(s) to items that cost more than $35, a decision which will require them to write a check or give us a credit card number to cover the price difference.

[Latest figures as of November 19th show $9,955.50 in orders processed with a cost to the club of $6,162.85. To pay that $6,162.85 invoice from Promotions Works, $3,270.50 in collected receipts will be used along with a draw down of $2,892.35 against the Club's $10,000 memento budget. If this trend continues the payment to Promotions Works may cap off at around $9,000, a bill which would be paid from $4,000 or so in collected receipts leaving only a $5,000 draw down against the Club's memento budget of $10,000. After all the activity has stopped, the Club may have upwards of another $5,000 to spend or dedicate toward another scholarship.]

The most recent apparel summary tables assumed the pricing list as printed on the apparel flyer sent to BLC members as well as the Promotions Works bid document rates adjusted upward to compensate for the 7% fee charged by MSU for use of its many symbols and logos. The higher prices shown on the flyer should generate enough to offset losses on some sizes of some apparel items as well as provide an opportunity to generate some additional funds for the Blue Line Club.
