IT Services is preparing to upgrade the University’s voice mail system. More information about the new voicemail system is available at http://www.mnsu.edu/telecomm/voicemail.html.
We will notify each department of the day their conversion will take place. Once your voice mailbox is converted, an e-mail message will be sent to you with your voice mail PIN number. You will need to use the PIN to record your name and your new greeting. You can access voice mail from your on-campus phone by pressing the “messages” key or by dialing 2222. Access voice mail from an off-campus phone at 389-2222.
On the day of conversion, the red light on your telephone may take some time to synchronize with your e-mail inbox to indicate new voice messages. On that day, you may want to rely on your e-mail for checking new voice mail messages or dial into the voice mail system periodically to check for new messages.
Below are some behaviors that will change with the new voice mail system and during conversion of all phones on campus.
- FORWARDING ALL PHONE CALLS (IMPORTANT CHANGE)
OLD UNITY VOICE MAIL: When you forward your telephone to another number, and the number forwarded to does not answer, the message is left on the voicemail of the number originally called.
NEW VOICE MAIL SYSTEM: When you forward your telephone to another number, and the number forwarded to does not answer, the message is left on the voicemail of the number forwarded to.
- TRANSFERING A CALLER DIRECTLY TO SOMEONE ELSE’S VOICEMAIL
OLD UNITY VOICE MAIL: You can transfer a call directly into someone’s voice mailbox (without ringing their phone) by dialing * followed by their extension.
DURING CAMPUS CONVERSION: The * extension feature will be disabled to avoid confusion. During this time you will not be able to transfer directly to someone’s voice mail. The transferred call will ring four times before the caller will hear the voice mail greeting.
AFTER CAMPUS CONVERSION: Once all phones has been moved off of Unity, the * will be reprogrammed to transfer directly to MavMAIL Voice Access mailboxes without ringing the phone. In other words, after the campus conversion, you will again be able to transfer directly to a voice mail box without ringing a phone by pressing * followed by their extension.
- CALLER IDENTIFICATION ON RECORDED E-MAIL MESSAGES
DURING CONVERSION: With the new system, if a voice mail message is left by someone on campus still on the old Unity system, their From address may be displayed with a phone number extension rather than the caller’s name.
AFTER CONVERSION: The caller’s name will be displayed as the from address as it did before the conversion.
NEW: If this caller is in your “Contacts” list in Outlook or MavMAIL, you will see their name along with additional information about the caller along with alternate phone numbers and e-mail address.
- MISSED CALLS
NEW: You will see a message in your Inbox for missed calls! This will include the calling number from the Caller-ID information. This is a setting that can be turn on and off using Outlook or MavMAIL.
- VOICE COMMANDS OR TOUCHTONE COMMAND DEFAULT
NEW: You can choose to use voice commands to read messages, check meetings, navigate menus, etc. or you can switch to using your phones touchtone keypad to control and navigate. To change your default, go to your “Personal Options” menu and press 4. Click here for Voice and Touchtone reference cards.
More information is available here or contact Julie Bruggeman at 389-2226 to have information mailed to you.
You will receive an e-mail when the conversion is complete sometime this summer.
Thanks for your patience during this upgrade.
