Academic Affairs University Travel

Under no circumstances can you purchase anything for your travel before it is approved. If you do, and the travel is not approved, those expenses will not be covered. You can find this information on the Minnesota State University, Mankato Purchasing Card Cardholder Agreement under step 3.

In-State Travel

  • No cash advance: You do not have to fill any forms out.
  • Cash advance: Please complete the out-of-state travel approval form including a brochure or other documentation with details about your travel to verify the professional purpose of your travel. E.g., conference, workshop, university visit, etc. Submit to your Dean or Supervisor. After the Dean has signed off, please send it to brittany.mckibben.2@mnsu.edu and she will have the form signed by relevant administrators. Once it's approved, she will send the approval back to you and include Tami Liebl on the e-mail.

Out-of-state Domestic Travel

  • No cash advance: Please complete the out-of-state travel approval form including a brochure or other documentation with details about your travel to verify the professional purpose of your travel. E.g., conference, workshop, university visit, etc. Submit to your Dean or Supervisor. No further approvals are needed.
  • Cash advance: Please complete the out-of-state travel approval form including a brochure or other documentation with details about your travel to verify the professional purpose of your travel. E.g., conference, workshop, university visit, etc. Submit to your Dean or Supervisor. After the Dean has signed off, please send it to brittany.mckibben.2@mnsu.edu and she will have the form signed by relevant administrators. Once it's approved, she will send the approval back to you and include Tami Liebl on the e-mail.

International Travel

Level 1, 2, and 3 countries. Level 4 is not allowed.

  • Please check the Travel Advisories to determine what level the county is and then fill out the out-of-state travel approval form including a brochure or other documentation with details about your travel to verify the professional purpose of your travel. E.g., conference, workshop, university visit, etc. Submit to your Dean or Supervisor for approval. If it is a level 3 country, it will also need the State System Form.
  • Once it is approved by your Dean or Supervisor, please send the request to brittany.mckibben.2@mnsu.edu. She will have these forms signed by the relevant administrators. Once they have been signed, Brittany will send the approval back to you. If there is an advance requested, Tami Liebl will be copied on the e-mail.
  • Please check the Smart Traveler Enrollment Program (STEP) to receive the latest security updates from the nearest U.S. embassy or consulate.
  • Check with your health care provider regarding travel insurance and/or inquire about GeoBlue Insurance with the Center for Global Engagement at ipo@mnsu.edu.

Student Travel

Decisions about all student travel, including education abroad programs, are made on university campuses to Level 1 and 2 countries. For destinations listed at a level 3 or above (see definition) the University will seek additional approval from Minnstate system.
